CELTA TERMS
By paying either a deposit or full fees you have read, understood and agree to the following conditions. All terms and conditions are applicable to direct trainees and agents unless variations are expressly agreed between the agent and Stafford House International.
AGE
The minimum age is 18 years. There is no maximum age.
VISAS
Trainees needing a visa to come and study are responsible for fully complying with all requirements of the appropriate Immigration Authorities both before and during their stay in their chosen country. If they fail to comply with these requirements and are expelled from the country, they will not be entitled to any refund of fees. SH reserve the right to refuse an application if we do not think there is an intention to comply with any of the Immigration Authority regulations.
Trainees should contact their local Embassy, Consulate or High Commission to ensure they are allowed to enter and study in their chosen country. SH will endeavour to support trainees at all times, but cannot be held responsible for decisions taken by Embassies or Immigration Authorities regarding entry visas or extensions, or regarding changes made to regulations.
Minimum payment, as set out in your proforma or invoice, must be received in full prior to any supporting visa documentation being issued. There are additional fees to have original documents couriered.
Should the trainee’s arrival date be postponed due to a delayed visa application, we cannot guarantee the original accommodation allocation, and we reserve the right to offer alternative accommodation. We also reserve the right to charge additional accommodation fees if less than 2 weeks’ notice is provided.
If a trainee’s visa application is refused, an original copy of the visa refusal letter must be provided. Accommodation fees will be refunded less the equivalent two weeks’ notice period if applicable. Fees, excluding any applicable non-refundable fees (see below), will be refunded to the fee payer if the visa was refused through no fault of the trainee. If the trainee reapplies for a visa after being refused, they will not have to pay the deposit fee again, but will incur any visa documentation related fees (Courier).
We will not refund any fees paid if trainees withdraw their application after a visa has been issued.
PAYMENTS
Payment methods are explained on the proforma or invoice. Payments must be received in full 21 days prior to the course start date. If a trainee books less than 21 days before their course start date, full fees will be due immediately. Deposits and fees are not transferrable between Trainees.
- We aim to release transfer and accommodation details 14 days prior to arrival date, subject to receipt of full payment.
- Course and Accommodation is only secured for the period that has been paid for in full.
- A refundable deposit of 200.00 GBP is required to hold a place on the course, once the trainee has been offered a place.
CANCELLATIONS, POSTPONEMENTS AND REFUNDS (PRE-ARRIVAL)
Written notification of cancellation must be submitted in order to provide refunds.
Refunds will only be paid to the fee-payer, via the original payment method. In the case of cash payments, refunds will be returned by bank transfer. Refunds will be disbursed within 45 calendar days of receiving notice of cancellation.
Where applicable, the following fees are considered non-refundable fees, with noted exceptions:
- Registration fee
- Payment Fees such as Bank Transfer Fees or Credit card processing fees
- Courier Fees (refundable prior to sending)
There will be a charge equivalent to the cost of two weeks accommodation fees, if you cancel accommodation, or postpone your arrival date, less than 2 weeks before the start date.
If a trainee cancels in writing 21 days before the start of the course, they will be refunded the full amount, which includes their deposit, less the registration fee.
If they cancel less than 21 days but more than 7 days before the start of the course, they will be refunded the full amount less their deposit and registration fee.
If a trainee wishes to cancel their course less than 7 days before the start of the course they are not eligible for a refund; however, they can defer their payment to a later course, subject to a transfer fee of £200.
If trainees have had their visa rejected through no fault of their own, SH will refund fees received in full less any non-refundable charges (registration fee, courier and bank charges).
If Stafford House (SH) cancels a course after a trainee’s enrolment, all monies paid will be refunded to the fee-payer, or the student may defer the course to a later date if they wish. In such cases, SH will endeavour to give the trainee 14 days’ notice of cancellation.
WITHDRAWALS AND REFUNDS (POST-ARRIVAL)
Refunds will not be issued for any unused tuition or accommodation due to expulsion as a result of poor attendance, or disciplinary issues.
Any refunds due will be disbursed within 45 calendar days of receiving notice of withdrawal.
No refunds of tuition or registration fees will be given by the school once the start date has passed. Accommodation fees will be refunded, less the equivalent of 2 weeks’ notice which must be in writing.
CONDUCT AND EXPULSION
SH will not accept: poor attendance; disrespect to members of staff or other Trainees; foul, inappropriate or abusive language; violence; intimidating or insulting behaviour; bullying; any form of discrimination (including based on race, gender, religious beliefs or sexuality); or any other act or behaviour that does or may bring the School into disrepute or cause any harm or suffering to staff, other Trainees, SH students or members of the public.
If the trainee fails to meet our minimum conduct requirements, SH may expel them. SH may also take any further action SH think is appropriate including informing the appropriate authorities.
Trainees must use our computers and internet access in accordance with our instructions and applicable codes of conduct, such as copyright rules which apply to photocopying of printed materials. Trainees may not use our computers or internet access for any illegal or unauthorised purposes (including accessing pornographic, obscene or illegal material) or for any commercial purposes. In the event of expulsion due to inappropriate conduct, there will be no refund of unused tuition fees. Accommodation fees will be refunded, less the notice period amount.
PHOTOGRAPHY
SH may send out email offers, updates and newsletters. SH or its representatives reserve the right to photograph or shoot video footage of Trainees and collect written or video trainee testimonials for promotional purposes, both printed and online. Any trainee who does not wish to participate should advise SH at the time of booking and state at the time of the photographing or video shooting that they wish not to participate. By accepting these terms and conditions, the trainee gives consent to use of these photographs or video footage without further consent or notifications.
FORCE MAJEUR
SH are not responsible for any events outside our reasonable control which may cause the closure of part or all of the School and the cancellation of any classes, courses or other services or materials SH provide. Events outside our reasonable control may include, without limitation, war, riot, civil strife, industrial dispute, terrorist activity, disaster, storm or other extreme weather conditions, flood, plague and infectious disease. Whenever reasonable and practical, SH will endeavour to offer compensatory classes, however this cannot be guaranteed.
SERVICES
SH reserves the right to change details of its services, including courses, facilities, accommodation and course dates, where circumstances beyond its control necessitate such changes or where the number of enrolments is not enough to operate a course viably.
LIABILITY
SH will not be held liable for loss, damage, or injury to persons or property while attending the schools. The Trainee is solely responsible for the safety of any personal property they bring to the School, including any post sent to them at the School and exam results or certificates.
Trainees must pay for any damages caused by them to SH property or to property in which they are housed.
DATA PROTECTION
In order to deliver education and protect welfare, SH will collect, keep and otherwise process personal data, including sensitive personal data that relates to the trainee and their circumstances. This will include their name, and contact details and where appropriate those of their parents, guardian, agent or sponsor. SH will also keep data about their education, health, welfare, accommodation, travel, passport, visa, finances and fees.
SH will keep this information secure at all times and will share it within Cambridge Education Group as necessary to run our business, deliver their education and ensure their safety. SH will also release the data where it is legally required or lawful to do so, or in the event of a medical emergency if it is necessary to protect their health or the health of others.
Trainees consent to their sensitive personal data including health, welfare, nationality, ethnicity, religious and other data being stored, processed and released by SH in this way.
On the first day of the trainee’s course, they must give SH their passport (or ID Card if they are resident in the EU).
SH will copy it and return the original to them. It is the trainee’s responsibility to update any Personal Information they give us if it changes. SH will comply at all times with our obligations under the Data Protection Act 1998 in relation to the trainee’s Personal Information.
